Dealing amicably with such clients can ensure the smooth running of your project as well as save you from the mental torture.
When you want to deal with difficult clients, you first have to determine the nature and type of client you are dealing with. One trait which is very common among most clients is that they want to get as much done from you as they can, which is way more than what was agreed upon as requirements between both the parties initially. They are just concerned about getting that project delivered without taking into account the fact that this might risk their relation with the employer. The key to dealing with such clients is to calmly and friendly make it clear to them that only the previously agreed upon requirements will be implemented. A liaison person may be introduced to facilitate this process.
Then there are certain clients who just cannot go without having a progress report from you every day. The key to dealing with such a client is to make them aware of what dates and times you will communicate the project details and progress reports. You can gradually delay these communications. By this time, the client would have learned to trust you. There are some clients who come up with their own project plan and expect you to follow it without any questions. You can help them gain confidence in you by asking them a few questions to which they won’t know the answer. This will make the clients realize that they should give control of the project to you. Another similar type of client is the one who is just not open for any suggestion regarding the project even if it is a better solution. In such cases, just stick to the client’s requirement. At the end of the day, it is he who will pay you for the work that you do according to his requirements, so just cover his requirements and relax!
Some clients are not initially interested in any communication with you and do not attend any meetings or read progress reports. After some time, they just hop in once again and start complaining about different issues. To deal with this type of client, you should plan meetings with them regularly to keep them on pace with the project.
One type of client whose traits are very irritating is the client who delays making important decisions regarding the project. At such a time, you are very tempted to make that decision for them and work on the project accordingly, but this is something which should never be done. One wrong decision made by you regarding the project can lead to the client being unsatisfied from you and your work. Therefore, just point out the problem to the client and let them handle it the way they see fit.
As you can see, during your interaction with clients, you will come across differing personality types. The key to dealing with clients is to treat them professionally, and tactfully remembering that at the end of the day they are the ones providing you with income.
